How to Use the Variation Feature?

This document outlines the steps to create and manage email signature variations using the add-in deployment feature, ensuring team members can easily implement and utilize different signatures in their emails.


To be able to use the variation feature, you must have completed the add-in distribution. To learn how to perform the distribution, you can use the link below:

1. Accessing Variation Settings

  • Open the add-in deployment panel.
  • Click on Settings.
  • Select Variation.

 

2. Adding a New Group for Variations

  • Click the plus button in the group option.
  • Type the name of the group in the title text field.
  • Choose the desired language from the language options.
  • Click Add to create the group.

 

3. Defining Signature Variations

  • After adding the group, click on the variation option next to the title.
  • Type the label for the signature variation and press Enter.
  • Click the Add button to save the variation.

 

4. Saving Changes

  • Press the Save button to save all changes made.

 

5. Editing Signature Groups

  • Click on Groups.
  • Find the label created in the variation and click the pencil icon next to the relevant group.
  • In the new window, click the plus button on the default set in the Signature tab.

 

6. Creating a Custom Signature Set

  • Click on Custom to define a custom signature set name.
  • Enter a name of your choice instead of 'private'.
  • Update the priority score of the signature set to 1.

 

7. Selecting the Signature for the Set

  • Choose the signature you want to use for the new signature set.

 

8. Adding a New Policy

  • Click on Policies.
  • Click on New and then Add.
  • Select Tag from the options.

 

9. Configuring Tag Values

  • Enter the tag value specified in the variation option.
  • Click Enter next to the phrase 'includes any under tags'.

 

10. Finalizing the Signature Set

  • Click the arrow next to default set and select Use Signature Set.
  • Click on Select Signature Set and choose the signature set you just created.
  • Click the Save icon and then Save.

 

11. Testing the Signature Variation

  • Log in from Outlook or Over.
  • Create a new mail by clicking on New Mail.

 

12. Using the Signature Variation

  • Click on Show Pane to view the group created under the Taxonomy option.
  • Click on the title linked to the signature via tags to change the signature.

 

13. Selecting the Desired Signature

  • Click on English to view the other assigned signature.
  • Click on Signatures to see your default signature.

Cautionary Notes

  • Ensure that all group names and tags are unique to avoid confusion.
  • Double-check the priority score to ensure the correct signature appears as intended.

Tips for Efficiency

  • Use consistent naming conventions for groups and tags to streamline the process.
  • Regularly review and update signature variations to keep them relevant.
